The Setup Process
Verify Meta Business Manager
Submit your business registration documents to Meta to prove your business is legally registered.
Choose a New Phone Number
You need a clean number that isn't currently active on the standard WhatsApp App. (Or you must delete the standard app first to migrate).
Select a BSP (Business Solution Provider)
The API has no interface. You must connect it to a software platform (like Frosty) to actually send and receive messages.

What the Business API actually is
The API is not another WhatsApp app. It is Meta's official channel for software to send and receive messages on a WhatsApp Business Account (WABA).
A business number, not a phone
The number lives on Meta Cloud, not on one handset. Your team signs into a shared inbox. If someone loses a phone, the chats stay with the business.
You still need a BSP
Meta does not give you a dashboard. A Business Solution Provider (Frosty) hosts the inbox, templates, webhooks, and the AI agent that replies.
Policy is part of the product
Every outbound start needs an approved template and an opt-in. Quality rating and messaging limits rise or fall with how customers mark your chats.
Two ways a conversation can start
You write first β a template
Offers, reminders, OTPs, and shipping updates must use a Meta-approved template. Meta classifies each one as marketing, utility, or authentication and bills a conversation when it is delivered.
Rejected copy, banned phrases, or a template that does not match the category will not send. Build the library before you plan a campaign.
They write first β the 24-hour window
When a customer messages you, Meta opens a 24-hour service window. Inside it you can reply in free text β quotes, catalogues, meeting links β without a new template.
That is why an AI that answers in the first minute matters. A late reply burns the window and the next touch becomes a paid template.
Messaging limits and quality rating
A new number does not start unlimited. Meta raises the unique-customer cap as the number stays healthy: typically 1,000 β 10,000 β 100,000 β unlimited. Blocks, reports, and template rejects pull the quality rating down and can freeze marketing overnight.
- Collect an explicit WhatsApp opt-in (checkbox, form, or keyword). A phone book is not consent.
- Keep marketing templates factual. βFLASH SALE!!!β copy is a common reject.
- Do not blast cold lists. One spam wave can drop you from unlimited back to a low tier.
- Use utility templates for order and payment updates so they are not billed as marketing.

The free app is fine for one person and a few dozen chats a day. These are the usual breaking points.

What happens when you migrate the number
The API uses the same phone number. It is not a copy of the phone app. Plan the cutover so sales are not staring at an empty inbox on Monday.
What you keep
- The number customers already saved β they do not have to re-add you.
- Your Meta Business Manager and, once approved, the display name on the chat header.
- Opt-ins you collected on forms, your site, or a keyword β those still authorise templates.
What does not come across
- Chat history on the handset. Export anything you must keep before the consumer app is deleted.
- Broadcast lists, labels, and Status from the Business app. Rebuild lists as opted-in audiences.
- Groups you created as a person. API numbers do not run personal groups the same way.
Display name is not the green tick
Two different Meta reviews get mixed up. One lets people see your brand instead of a raw number. The other is Official Business Account β the green badge.
Display name
Required to go live. Meta checks that the name matches your documents and website. Customers see βAcme Interiorsβ in the header. You can sell while this is approved and the green tick is still pending.
Official Business Account
A second application. Meta looks at recognition, complaint rate, and how you use the number. It is trust, not a feature switch. Skipping it does not block the API, templates, or a shared inbox.
Common questions
Can I keep my existing WhatsApp number?+
Yes, if you migrate it. The consumer or Business app must be removed from that number first. A number cannot live on both the phone app and the API. Frosty walks the migration so chats are not left on a personal handset.
Do I need the green tick on day one?+
No. Official Business Account (the green tick) is an application on top of a live API number. You can sell on the API with a display name while the verification is in review.
Is the API free like the Business app?+
The platform fee is yours. Meta bills conversations (marketing, utility, authentication, and service after the monthly free tier). Frosty does not mark up Metaβs rate card β see the pricing guide.
Will an AI replace my team?+

Do I lose old WhatsApp chats when I switch?+

Can one business run more than one API number?+
Yes. Brands often split sales, support, and OTP traffic so a marketing blast cannot pull down the quality rating on the number that sends logins. Each number has its own messaging tier and analytics.
